Aireon is on the path to revolutionizing air traffic surveillance and aircraft tracking, as the world’s first and only company deploying a 100 percent global space-based system. This system will provide real-time aircraft monitoring spanning never before covered areas of the planet, including remote, oceanic and polar regions. Aireon’s receivers are hosted on the Iridium NEXT satellite constellation, which began launching in January 2017. The Iridium NEXT constellation consists of 66 operational satellites in a low-earth orbit and utilizes a unique cross-linked satellite architecture creating a web of coverage around the world. The Aireon system has the ability to enable a safer, more efficient and environmentally friendly aviation industry resulting in significant CO2 emission reductions. Numerous Air Navigation Service Providers have already signed on to receive Aireon’s space-based ADS-B data, including NAV CANADA, Naviair, Enav, the Irish Aviation Authority, UK NATs and more.
Summary: The Executive Assistant for Aireon is responsible for performing top-level administrative duties for the CTO, CFO, and Vice Presidents (the “Executives”).
Provide Executive Administrative support to the Executives with the ability to manage and prioritize multiple requirements and deliverables.
Manage calendars and schedules for the Executives (and their perspective Boards).
Coordinate domestic and international travel arrangements to include but not limited to airfare, hotel, rental car, etc… and the completion of expense reports as needed.
Coordinate meetings/events for Executives and subordinates (as required) including (10%): meeting space, IT support, coordinate teleconferences, lodging for visiting participants, printing/binding for 4 or more meeting participants and catering
Support EA organization including rotating coverage of the front desk, assisting with stocking supplies and kitchen, managing catering, and Notices of Incoming Visitors (NOIV) for the Executives. Providing exceptional cross-coverage support during high-demand activities and meetings (board meetings, tradeshow planning, etc.) is critical.
Maintain both electronic and physical filing systems.
Coordinate and prepare confidential board materials; including slides, charts, graphs, and insert into presentations.
Process credit card statements. Maintaining accurate financial reporting, ensure all purchases are accounted for and processed.
Create, type, and/or edit various documents as required in PowerPoint, Word, Excel; write, proof and edit correspondence, including electronic correspondence as required.
Receive, open, and manage internal and external correspondence and approvals for the Executives.
Liaise among peers, managers, teams and other personnel as necessary to gather and communicate pertinent information and agendas. Work cross-functionally, and build strong working relationships with peers, vendors, agencies and Iridium employees to promote and integrate a team atmosphere across the organization(s).
Assist with onboarding of new employees for your Executive’s department.
Enforcement of Aireon’s policies including travel and cost reimbursement.
Excellent written and verbal communications skills.
Process oriented and flexible, able to handle constant change and interruptions, with a proven record of increased productivity.
Strong organization skills, accurate attention to detail, sound decision-making abilities and great time management with the ability to set priorities.
Excellent computer skills - Advanced Microsoft Office (Outlook, PowerPoint, Word, and Excel).
Personal initiative to anticipate requests before they are received.
A positive and professional team player attitude that pays attention to detail and has a good head for numbers.
Overtime hours may be required when workload exceeds normal operating conditions or to help cover while peers are out of office.
Continuously strive to increase knowledge of company policies and procedures.
Decision-making and troubleshooting skills required to solve highly diversified complex issues.
Use a high degree of independent action and maintain a high level of confidentiality.
Bachelor’s degree in Business Administration/Management.
Five years’ experience as an Executive Administrative Assistant, preferably in a high technology company and/or combined experience including event planning and management (supervisory, office, or project).
Proven experience in working with senior-level executives and cross functionally within an organization.
Must provide the following professional references: previous supervisor(s), previous direct report(s) (if applicable).
