| Description: | Duties and Responsibilities: Responsible for providing a high level of customer service to both internal and external customers in person and over the telephone. Professional phone etiquette and appearance are required, as you will interface with various customers, vendors, executives, and investors. Reporting to the Director, Human Resources, you will be an integral part of the Administrative Support and Human Resources teams providing support to various business units and operational departments. Additionally, you are the back up to the other office Executive Administrative Assistants performing general clerical tasks as assigned in effort to relieve some of the workload. The ideal candidate should be familiar with all aspects of administrative support from generating correspondence, creating presentations, scheduling meetings, arranging catering, familiar with shipping methods, and checking in deliveries against packing slips and purchase orders. In this exciting and challenging role you will take on the office management duties including the complete set up and management of an office move. You will be tasked with ordering, and ensuring that the orders arrive, working with outside vendors and agencies on behalf of Iridium. You will assist with the logistics of the move, and intial set up and ongoing management of the Tempe Rimrock office. Requirements: - Previous experience as a Office Manager/Receptionist/Executive or Administrative Assistant or comparable work experience is required.
- Excellent written and verbal communication skills are required.
- Skilled in MS Office 2007 (Word, Excel, Power Point, and Outlook).
- Must be Internet savvy and able to utilize resources in order to meet deadlines.
- Must have strong organizational skills, accurate attention to detail, sound decision making abilities, and great time management with the ability to prioritize.
- Must be process oriented and flexible being able to handle constant change and interruptions with a proven record of increased productivity.
- Will maintain a high level of confidentiality while interfacing amongst numerous departments.
- Dependability: arriving to work on time is a must.
- Should enjoy providing a high level of service to both internal and external customers.
Routine Tasks: - Open lobby at 7:30am and close at 4:00pm daily.
- Answer phone calls, take messages, and delivers messages ASAP.
- Check in visitors and assign appropriate badges
- Act as liaison between visitors, callers, vendors, and ISLLC staff.
- Manage office ordering and inventory including coffee services, copy machine maintenance, and office supply accounts, and approval of related billing.
- Check in all office supplies against order log/packing slip.
- Check and meter mail daily.
- Sort and deliver mail daily at a designated time.
- Prepare Federal Express shipping labels as requested.
- Contact employees on deliveries and/or visitors.
- Coordinate deliveries and/or pick-ups with vendors.
- Prepare office or work space for new employee
- Set up mailbox
- Help arrange conference rooms, catering, and meals for events.
- Set-up bridge/conference calls upon request.
- Offer support for all office staff performing general clerical tasks that do not require you to leave the receptionist station.
- Answer phones, screen calls, greet visitors, distr. mail, make copies, fax, file, conference rooms calendars, etc.
- Track and order office inventory, subject to approval
- Assist admin team with special projects, assignments, and overflow backup as needed
